Feb. 18, 6:31 p.m. update for UT Health San Antonio, faculty, staff, students and trainees:

In an effort to serve our patients and students, and to continue our research efforts, on-campus activities will resume at noon, Friday, Feb. 19. For those with on-campus responsibilities, please report to campus by noon if you can do so safely. Please use caution when traveling as some roads may still be difficult to navigate.

UT Health Physicians clinics held at the MARC and the Mays Cancer Center, and the UT Health Vaccine Clinic at the Hurd Auditorium, will also begin operations at noon to serve patients. UT Dentistry clinics will remain closed through Friday, Feb. 19.

Please assess your workspace as you resume operations on campus and contact Facilities Management at (210) 567-2880 if you discover water leaks, damage, low water pressure or other inoperable equipment in your area.

We understand that there may be ongoing challenges as this winter weather pattern clears. If you encounter difficulties reporting to campus, please contact your supervisor.

Feb. 18, 6:18 p.m. update for UT Health Physicians and Mays Cancer Center faculty, staff, students and residents:

It appears this unprecedented weather event is coming to an end. I hope that you and your families are warm, safe and once again have power and water. Due to the improved weather conditions forecasted for tomorrow, Feb. 19, UT Health Physicians clinics at the MARC and Mays Cancer Center will have a delayed opening of noon. Providers and staff who work at the MARC and Mays Cancer Center should plan to report to work by noon.

Due to issues with power and water supply, UT Health Physicians satellite locations (Hill Country, Medical Drive, RBG, Senior Health, Shavano, TDI, Verde Hills, Westgate, and Westover Hills) will remain closed and resume regular operations on Monday, Feb 22. These sites will be inspected over the weekend to ensure the safety of our patients, staff and faculty.

For faculty who work at UHS locations, including the MARC ASC, please see the UHS infoLine:  https://www.universityhealthsystem.com/crisis. Pre-procedure COVID testing will be performed on site at the MARC ASC.

The UT Health San Antonio campus will open at noon. UT Health Physicians staff currently working at the PARC should plan to report to work at noon. All other employees should continue to work from home. We understand that the ability to work from home is being hampered by power and internet outages. Please inform your supervisor if you are encountering difficulties.

Senior leadership will continue to monitor the weather conditions and will meet tomorrow morning to determine if there needs to be any adjustments or changes to the opening times for the MARC and Mays Cancer Center clinics.

The UTHP Weather Line (210-450-4886) will be updated at 8:30 a.m. tomorrow with a status report for faculty and staff regarding any modifications to planned clinic operations. As the recent weather conditions have presented many challenges overlaid on the pandemic, many are dealing with sustained loss of basic needs such as electricity, heat and access to food and water. We understand that there could be ongoing challenges even after the storm clears such as water damage due to bursting pipes and continued utility outages. We appreciate that the implications of these challenges may vary in degree by individual. You are integral to our mission and to help support our UT Health San Antonio community, please find below a summary of resources and options to consider in addition to others that have been communicated recently.

Feb. 19, 11:51 a.m. update for UT Health Physicians providers and staff:

Today we are finally emerging from our second major public health crisis of the year.  Fortunately the “Snowmeggedon” crisis is a self-limited one; the sun is now shining, temperatures are above freezing, power issues are mostly resolved, and we anticipate water issues will soon be as well.

We can take a collective deep breath and be happy it is over. THANK YOU to the many who reached out to patients, took their calls during the crisis, and helped coordinate their immediate care.

We are now opening our UT Health Physicians’ doors to patient care at the MARC this afternoon. Off-site clinics, however, will remain closed. We understand many of you may still have issues at home with broken water pipes and flooding, lack of drinkable water, or dependent loved ones still needing help. If that is the case, please stay in close touch with your supervisor to make sure you have adequate coverage while you attend to these critical family needs. Many updates and resources are available; please see news.uthscsa.edu/weather for a few.

All of us will be working diligently over the next few days rescheduling the many patients whose appointments were cancelled this past week. Please work with your medical director and practice manager to look at creative solutions for getting these patients the care they need. This will likely include adding clinics.

Unlike “Snowmeggedon,” the COVID crisis continues to churn. We have thousands of vaccinations to reschedule, many of them second doses which are urgent to give. This is in the face of delayed or expired vaccine shipments due to the weather. So bear with us as we devote time and energy to this undertaking as well.

This has been a most incredible year, but I wouldn’t want to go through it with any other group than you. Please feel free to reach out to me for questions or concerns.

On Friday, Feb. 19, the following will open at 12 p.m.:

Feb. 18, 12:23 p.m. update for UT Health San Antonio faculty, staff, students and residents:

Dear UT Health San Antonio faculty, staff, students and residents:

During this ongoing and unprecedented winter storm, it is important that we remain vigilant and safe. Remember, these are dangerous conditions.

Today we could see up to 2–4 inches of snow in the San Antonio area. The primary risks are hazardous road conditions and extremely slippery walking and driving surfaces on campus. Elevated surfaces, such as our parking garages, are fully iced and all those coming to the campus must be on the alert for falling icicles at canopies and overhangs.

Driving during this weather is not recommended. But if you do drive, remember these points:
·       Freezing rain is more dangerous than snow, forming a layer of ice on streets and sidewalks.
·       Ice can form on any road. As snow melts, ice can accumulate along curbs and drainage areas.
·       While icy roads are more prevalent at night, remember that ice may still layer the roads in the morning.
·       Avoid driving during freezing temperatures after rain or snowmelt. This is especially important after freezing rain.
·       Always be watchful for falling branches and power lines.

There is warmer weather ahead. While this is abundantly good news, especially for those of us who have gone without electricity and/or water this week, unfortunately the thaw brings new challenges: leaking or broken pipes. San Antonio Water System (SAWS) is urging people to be on the lookout for water leaks as temperatures rise. If you see a leak, SAWS is recommending you shut off your water at the meter. Here’s how.

Please be reminded that SAWS has issued a boil water notice. Tap water must be boiled vigorously for two minutes and then cooled before drinking, or being used for cooking or brushing teeth. For those without electricity for boiling, camp stoves, fish fryers and barbeque pits/grills can be used. Just remember to never use camp stoves or generators inside the home due to carbon monoxide poisoning concerns. We are aware that many in our UT Health San Antonio community are struggling with long periods of time with no power and no water during this severe weather event. If you are able to travel to campus safely and are in need of resources, these services are available on campus to help support you:

  • The UT Health San Antonio Dolph Briscoe Library is open 24/7 to our university community to warm up and charge electronic devices.
  • The Academic Learning and Teaching Center (ALTC) is open 24/7 to warm up and charge electronic devices.
  • Limited shower facilities are available at these locations:
    • Men’s shower: Dental Building 1.003.1T (on Long Campus, not the COHR)
    • Medical School Building 1.003.2 E corridor
    • Women’s shower:Dental Building 1.003.2T (on the Long Campus, not the COHR)
    • Medical School Building 1.003.1 E corridor
  • For employees with family members who may need oxygen tanks refilled urgently or batteries charged for essential medical equipment (i.e. home ventilators), please call 311 for assistance.
  • Please be reminded that San Antonio Water System (SAWS) has issued a boil water notice. And please do not use camp stoves or generators inside the home due to carbon monoxide poisoning concerns. Please share this message with extended family and friends.

Please remember to bring your badge so that you may access the buildings housing these facilities. Don’t forget your mask!  In addition, please use caution when walking on campus. We continue to prioritize our de-icing efforts to heavily trafficked pathways, yet some areas may still be icy or difficult to navigate.

Unfortunately, the Gold’s Gym building is without water so those shower facilities are unavailable at this time. We will notify the campus if those facilities become available. Additional efforts include the City of San Antonio that has opened a warming center at the Henry B. Gonzalez Convention Center. Information can be found here.

Our community continues to struggle with snow and icy conditions this morning which are projected to extend through the afternoon. Many areas of our city are without power and water. We have decided that UT Health Physicians MARC and Mays Cancer Center clinics will be closed today, Feb. 18, to ensure the safety of our patients, staff and faculty.

UT Health Physicians satellite locations (Hill Country, Medical Drive, RBG, Senior Health, Shavano, TDI, Verde Hills, Westgate, and Westover Hills) will also remain closed.

For providers with restored power and internet connectivity who have patients needing to be seen, please work with your Practice Manager to assist with video and telephone visits. Please be advised that due to limited connectivity there may be long waits for Help Desk assistance.

Feb. 17, 1:45 p.m. update: A message from the Chief Financial Officer

Dear Research Community:

Weather conditions and city-wide power outages are impacting all aspects of university operations. Please be advised that General Stores is open today until 5 p.m. and available to fill dewars of liquid nitrogen and orders of dry ice both on the main campus and at the STRF. Limited staff is on site and we invite you to bring your tanks to a filling station as needed before 5 p.m. We also expect to have personnel on site tomorrow and will provide a subsequent update regarding hours of availability for General Stores on Thursday and Friday.

For those labs expecting direct deliveries, Praxair has indicated they will make a delivery today. General Stores will distribute or hold cylinders as necessary. The status of Airgas and other vendors is still unknown.

Feb. 17, 1:00 p.m. update: A message from the Chief Medical Officer

Dear Providers,

As you’ve heard UT Health Physicians and Mays Cancer Center clinics are closed again today and will have a delayed start at noon tomorrow. So now we have been closed 3 days. During this unprecedented weather/power/water crisis I ask that you monitor your Epic in-baskets because patients need our help and are reaching out to us. If you do not have power or internet availability, then let your medical director or practice manager know. It’s imperative we stay in good communication during this time.

We anticipate the weather/power/water issues may continue the rest of the week. As you know the city has set up a warming center at Henry B. Gonzalez Convention Center for vulnerable individuals who have lost power. For patients with critical O2 refill requirements, or the need to charge backup power for essential medical equipment (such as home ventilators)—please have them contact 311 to obtain assistance and guidance.

2021 is proving to be every bit as challenging as 2020, but we will get through it together. We know many of you are without power and water,  so please take care of yourselves and your families. For help or if you have questions, please reach out to your medical director or me. We are here to help you.

Due to the continued threat of icy driving conditions as well as the   widespread lack of power and water, UT Health Physicians and Mays Cancer Center clinics will be closed all day today, Wednesday, Feb. 17 to ensure the safety of our patients, staff and faculty.

Due to the projected icy and snowy weather expected this evening, UTHP and Mays Cancer Center clinics will have a delayed opening of 12 p.m. for tomorrow, Thursday, Feb. 18. Senior leadership will continue to monitor the weather conditions and will meet later today to determine further Thursday operations. An announcement will be sent later this evening with updates. For the time being, providers and staff should plan to report to work tomorrow at 12 p.m.

Feb. 17, 8:45 a.m., update for School of Dentistry: A message from the Dean:

Dear students, staff and faculty,

This is the latest update on our school activities today and tomorrow.  Road conditions are bad due to freezing rain overnight, and another winter storm is expected later tonight and overnight. Thus, all on-campus activities including clinics at the COHR are canceled all day today, Wednesday, Feb. 17, and all day Thursday, Feb. 18.

Because of widespread power outages, virtual classes are cancelled for today and tomorrow.

We continue to closely monitor the weather and road conditions and on Thursday afternoon we will make a final determination as to whether or not we will be able to re-open on Friday morning. Please check your UTHSA email on Thursday for an update! Work from home continues, as permitted and if possible.

For those of you who work/learn at off campus locations, please contact your supervisor/faculty/program director regarding the status of these sites.

Dear UT Health Physicians and Mays Cancer Center Faculty and Staff,

Please read the message below from University Health regarding their operations for tomorrow:

Dear University Health Staff Members,

As exceptionally cold temperatures are expected to continue through at least mid-morning tomorrow and we know many in our community are struggling with long periods of time with no power, we have made the decision to keep all University Health ambulatory clinics, ExpressMed, and surgery centers closed through tomorrow, Wednesday, Feb. 17. Elective surgeries scheduled for tomorrow in the hospital will also be postponed.

The vaccine site at Wonderland will continue to be open from 8 a.m. to 8 p.m. We know getting this vaccine is extremely important to the people who’ve made these appointments and we have had a good turn out so far today. These patients are telling us how grateful they are that we have stayed open.

If you are scheduled to work at the hospital tomorrow, please plan to come at your regular time, to ensure those working today can go home to get some rest. While the food situation has improved from yesterday, there will still be limited options, so it is still a good idea to bring your own.  Please reach out to your supervisor if you have questions about your schedule.

Staff who work in business/corporate areas who are set up to work remotely, should plan to work from home again tomorrow. If you are not set up to work remotely, or do not have power or internet, please contact your supervisor about whether you should plan to come in person.

Again, we continue to be impressed by the incredible work and commitment of our team. We are meeting the challenges brought on by this record-breaking snow and cold weather event with great skill, flexibility and innovation. Staff who work from home will be expected to continue to work from home. These are truly unprecedented times (I know this phrase is highly overused these days, but I just don’t know what else to say). I don’t think anyone fully anticipated the magnitude of this weather event.

At this point, leadership has determined that the risk and hardship of travel for our patients, faculty and staff is far too great to open the clinics today.

Greetings Mays Cancer Center Faculty and Staff,

Due to inclement weather and the inability to connect with patients via video/telephone visits, all patient visits scheduled before noon on 2/16/21 will be cancelled and will be rescheduled at a later date. This includes infusion patient visits.

All UHS infusion patient visits have been cancelled for 2/16/2021.

The decision as to whether or not to cancel Mays Cancer Center patients with appointments at noon or later on 2/16 will be determined as soon as possible tomorrow morning. Patients and staff will be notified as soon as possible.

Due to the continued threat of icy driving conditions forecasted through tonight and tomorrow morning, all on-campus non-clinical activities will continue to be suspended through Tuesday, Feb. 16, 2021.

UT Health Physicians and Mays Cancer Center clinics will have a delayed opening at noon. The UT Health Vaccine Clinic at the Hurd Auditorium will open at noon and UT Dentistry clinics will open at 1 p.m. on Tuesday, Feb. 16, to serve patients while ensuring the safety of our patients, staff, and faculty.  Travel to campus for non-clinical activities should be extremely limited as we are directing our resources to provide safe access to our clinical facilities. Trainees with clinical rotations should consult with their individual program director for appropriate guidance. Essential personnel necessary for campus operations will be notified by their supervisor of their need to be onsite to support critical functions.

We will continue to monitor the weather and another update will be provided related to Wednesday’s on-campus activities.

Feb. 14, 3 p.m. update for UT Health San Antonio faculty, staff, students and residents:

  • Many roads in Bexar County are now closed due to ice. Points north of Metro San Antonio have more ice.
  • Freezing precipitation and snow will continue throughout the night.
  • Texas Department of Transportation has abandoned de-icing effort in most areas because the precipitation is covering their work.
  • Facilities has abandoned de-icing in most areas except those very limited paths leading to University Hospital.
  • We will re-evaluate our walking surfaces after daybreak tomorrow.
  • Clinics are closed tomorrow.
  • There is a very limited staff on site to respond to emergencies.
  • Hospitalists and residents that get snowed in tonight may have to sleep in the MED, Lecture Hall, or Briscoe Library tonight since those buildings are attached to University Hospital.
  • Plans and conditions will be re-evaluated tomorrow. This information is current as of 3 pm today.

As each of our missions of education, research, clinical care and community service is unique, decisions on closures, cancellations and/or delayed openings will be made at the unit level. Faculty and staff should take direction from their supervisors, chairs and clinic managers. Students with scheduled in-person activities should follow their school and program protocols related to clinical rotations or other activities and should receive further direction from the school and faculty leadership through either program listservs or their class CANVAS page. Virtually-delivered lectures are likely to continue as scheduled.
