Flores Leave Solutions will be our new vendor for leave of absence related requests
UT Health San Antonio employees:
Starting this week, UT Health San Antonio will transition processing of some of our employee leave of absence requests to Flores Leave Solutions, an experienced vendor in leave administration and processing. As we are rapidly growing, we hope this transition to a dedicated leave administrator will simplify and expedite leave requests for our employees outside of regular time off requests.
What’s changing?
Requesting Leave of Absence - Employees will now contact Flores Leave Solutions with requests for Family and Medical Leave Act (FMLA), Parental Leave, Paid Family Leave and Americans with Disabilities Act (ADA) Accommodations. Requests can be made multiple ways:
Initial approval for leave of absences will come from Flores Leave Solutions with follow up from HR Leave Administration about what leave balances are available for employees to use. Managers will be updated as approvals are received.
Managers:
If your employees ask how to apply for a leave of absence, please direct them to contact Flores Leave Solutions at any of the options above.
If you or your employee have questions about what leave options are available, contact the HR Leave Administration team to discuss at hr-leaveadmin@uthscsa.edu.
Documentation - Employees requesting leave of absence will provide the required documentation directly to Flores Leave Solutions.
ADA approval
For faculty and staff employees, paperwork for ADA Accommodation requests will be reviewed by Flores Leave Solutions. ADA requests will still be approved by the UT Health San Antonio Office of Human Resources.
Confidentiality - All information provided to Flores Leave Solutions will remain completely confidential and will only be used as needed to complete processing.
Time entry - Employees, supervisors, and timekeepers are still responsible for entering their FMLA, Parental, Paid Family or other leave requests and leave usage in the Kronos time entry system (or QGenda system as applicable for the Long School of Medicine). Time entry questions will still be handled by UT Health Time & Attendance.
Disability claims
Employees enrolled in Short-Term and Long-Term Disability plans will still contact their plan provider (Blue Cross Blue Shield Disability Claims or The Standard) to apply for benefits.
Employees are still required to use all their Extended Illness Bank hours before any disability plan benefits are payable.
Supervisors and UT Health San Antonio Human Resources Leave Administration will still complete the employer portion of disability requests.
Leave Administration team - If you have questions about how to use your available leave balances while out on a leave of absence, you may still contact the HR Leave Administration team at hr-leaveadmin@uthscsa.edu.
Find these new processes outlined on the HR intranet on the FMLA and ADA websites which have been updated to reflect this change as of this week.
